We are looking for a talented and experienced Estimator to join our dynamic team.
The Estimator oversees the estimating process and is responsible for accurate pricing for all quotes that are sent to customers. S/he trains the Estimating Coordinators on estimating and is the final approver for estimates that go out. S/he ensures a smooth hand-off from Sales to Operations.
The following are the duties and responsibilities for the Estimator:
· Set estimating assumptions for labor and materials.
· Make revisions to the estimate based on knowledge and expertise.
· Request price quotes for required materials from suppliers.
· Approve costs and estimating assumptions for estimating worksheets.
· Review estimate worksheets prepared by Estimating Coordinators, makes adjustments
· and approves final estimate and quotation values applying appropriate profit margins to project costs.
· Review all estimates for errors and omissions.
· Review and approve quotes for change orders and extra work orders.
· Ensure a smooth handoff from Estimating to the PM and Site Supervisor for each project.
· Participate in the development of the annual sales forecast.
· Collect, review and approve procedures from direct subordinates.
· Recommend compensation increases/decreases within established guidelines for each position under your direct report.
· Propose agendas items for management meetings including issues, opportunities, and priorities.
· Create and update procedures on tasks relating to the duties of this position as requested
· Lead the Project Kickoff Meeting with the designated Site Supervisor and Project Coordinator to outline the project scope, goals, and expectations before beginning a project.
· Remain current on industry trends, market activity and competitor products and strategies.
· Prepare for, attend and participate in company meetings including coming with written thoughts on how best to overcome or pre-empt the issues or objections on the agenda.
· Constantly increase knowledge of landscaping techniques through training, education, day to day learning, etc.
· Maintain accurate site records by completing paperwork and communicating effectively on a daily basis.
· Maintain quality control of all project elements by enforcing quality standards on a daily basis (internal walkthroughs).
· Work with Site Supervisors and Project Managers to keep projects on schedule.
· Engages in monthly site reviews with Site Supervisors and Project Managers.
· Supports Site Supervisors to ensure completion of project elements as required.
· Communicate with vendors to maintain good relationships as required by the business.
· Negotiate discount levels with vendors to meet profitability goals & targets.
· Lead Project kickoff meeting before the start of every job-site to get the project team familiarized.
· Coordinates the delivery of materials to the project site as per Site Supervisor requests.
· Accurately, and efficiently order materials for assigned sites as directed by the Site Supervisor.
· Work with Site Supervisors and Project Managers to maintain a weekly materials schedule.
· Request price quotes for required materials from suppliers.
· Ensure a smooth handoff from Estimating to the PM and Site Supervisor for each project.
· Use Take-off software to accurately measure areas on construction drawings to ultimately produce a quote.
· Analyze and review cost estimates from suppliers and vendors during the estimating process.
· Input costing data into excel spreadsheet (supplies, areas, furnishings, materials, etc.) to produce estimates.
· Analyze construction drawings to create "Take-off's" and determine excel inputs.
· Send RFQ for materials, plants, furnishings, etc. to vendors in a timely manner to produce estimates on time.
· Send drawings for Irrigation Quote as a part of the estimating process.
· Prepare and submit detailed formal quotations according to the client company's scope and due date specified by the client.
· Determines material quantities required to complete landscaping projects and prepare corresponding estimate worksheets.
· Setup project folders for new projects including drawings, and other related documents.
· Import takeoff info into excel worksheet to calculate estimate.
· Produce additional estimates and quotes when Change Orders are requested from the field.
· Respond to invitations to bid from customers, usually General Contractors.
· Make regular phone calls to customers to follow up on outstanding quotes.
· Oversee the quality and accuracy of estimates being produced by the Estimating Coordinator(s).
· Communicate with vendors, suppliers and sub-trades as required by the project.
· Manage change orders and communicate re-pricing information as required.
· Process change orders and see if any re-pricing is required.
· Process project closing documents as required.
· Go through project drawings and documents to get a clear understanding of project scope.
· Double check all materials requirements (quantity, variety, and installation specification) prior to submitting quotations.
· Share responsibility for overall completion and quality of a project with all project team members.
· Work with the Project Manager to resolve customer issues as they arise.
· Participates in project meetings with designers, landscape architects, Ikonic PM's, client PM's, contractors, and other stakeholders to coordinate project scheduling and execution.
· Assemble and submit project closing documents as required.
· Attend the project kick-off meeting to get a clear understanding of scope.
· Offer feedback to site-staff on performance.
· Enforce quality control and customer satisfaction in line with Ikonic’s values and mission statement.
· Review and work with project contracts and scope of work as required.
· Once awarded, visit new job sites to enhance customer relationships by engaging with customers’ site staff (Project Managers, Super Intendants, etc.).
· Check in with site staff on a daily basis either by site visit or telephone conference, and participate in daily Operations conference call.
· Participate in scheduling of company resources (labor, machinery, etc.) by participating in the Resource Planning Meeting on a weekly basis.
The job requirements for Estimator are as follows:
· Completion of College Diploma in Building and Construction related Discipline
· At least 5+ years of experience as Estimator
o 2+ years experience as an Estimator in the Landscape Construction Industry
· Must have exceptional verbal and written English.
Technical
· Experience with CRM software
· Experience with Landscaping Management system
· Ability to review system construction (landscape) drawings is required.
· Proficiency with MS Office applications is a strong asset.
· Ability to use spreadsheets to keep and analyze performance and results data.
