Education Requirements:
- A bachelor's degree or college diploma in business administration, commerce, supply chain management, procurement, or a related field is required.
Experience Requirements:
- Minimum of 2–3 years of experience in procurement coordination, purchasing administration, supply chain support, or vendor coordination.
- Experience preparing, processing, and tracking purchase orders, procurement documentation, supplier invoices, and maintaining accurate procurement records.
- Experience obtaining supplier quotations, coordinating with vendors, monitoring purchase orders and deliveries, and resolving procurement-related issues.
- Experience working collaboratively with internal departments, suppliers, and contractors in a fast-paced, project-based environment.
- Proficiency in Microsoft Office, particularly Microsoft Excel, and experience using business software or procurement systems; experience with QuickBooks Online is considered an asset.
- Strong organizational, analytical, problem-solving, and communication skills, with exceptional attention to detail.
- Demonstrated ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
- Experience in the mining, construction, engineering, or industrial sectors is considered an asset.
- Experience supporting procurement, accounts payable, and project cost tracking functions is considered an asset.
Wage: Annual salary of $85,000 CAD ($40.87/hour)
Work Location: Hybrid (Work from home + in-office as agreed: 3200–733 Seymour Street, Vancouver, BC V6B 0S6) / Remote support for Yukon operations (Occasional travel to the Yukon may be required based on operational and project needs)
Main Job Duties:
- Evaluate risk, assess, prepare forecasts, scenarios and other factors concerning the supply market, and provide recommendations.
- Coordinate procurement and purchasing activities for project-related materials, equipment, and services.
- Provides research of the financial sourcing aspects of contracts.
- Track purchase orders, procurement commitments, supplier invoices, and project expenditures against approved budgets and cost codes.
- Maintain procurement records, purchasing documentation, vendor databases, and procurement tracking systems.
- Review procurement-related invoices, contracts, purchase orders, and supporting documentation for completeness and accuracy.
- Coordinate with vendors, contractors, consultants, and internal departments regarding procurement documentation, invoice discrepancies, payment status, and delivery schedules.
- Support vendor onboarding activities, including collection and maintenance of vendor forms, banking information, and procurement compliance documentation.
- Assist with procurement sourcing activities, supplier communications, quotation requests, and procurement coordination.
- Monitor procurement transactions to ensure compliance with company procurement procedures, approval workflows, and internal controls.
- Identify high impact cost reduction opportunities.
- Match supplier invoices to purchase orders, contracts, and receiving documentation prior to processing.
- Prepare procurement expenditure summaries, invoice tracking reports, and procurement status updates for internal stakeholders.
- Maintain organized procurement and supporting documentation in accordance with document control and audit requirements.
- Support timely processing of approved supplier payments through electronic payment and banking platforms.
- Identify and escalate procurement discrepancies, pricing inconsistencies, missing approvals, or incomplete documentation.
Work Schedule: 9 a.m. – 5 p.m.
